Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. SUBMISSION

Thank you for your interest in Arquivos em Odontologia. Please note that submission implies that the manuscript content has not been published or submitted for publication elsewhere, except as an abstract in a scientific event's proceedings.

Manuscripts suitable for submission, according to the Author Guidelines, should be submitted online.

This journal does not charge submission fees.

Articles written in English, Spanish, and Portuguese will be accepted for publication. The review process, as well as the content of citations and bibliographic references, is the responsibility of the authors.

Important: Manuscripts accepted for publication may undergo grammatical and style review in English/Spanish. Authors will be asked to submit the revised text with a review certificate provided by the chosen publisher, and the costs will be borne by the authors.

 

  1. MISSION AND SCOPE

The journal Arquivos em Odontologia (ISSN: 2178 - 1990) is a continuous scientific publication of the Collegiate Program of Postgraduate Studies in Dentistry at the School of Dentistry of Universidade Federal de Minas Gerais (FAO-UFMG). The journal is classified as B3 Qualis Capes (Dentistry) and all published articles have undergone double-blind peer review. The mission of the journal is to promote and disseminate intellectual production in the field of health and education in Dentistry and related areas, evaluating and publishing original research articles in the following categories: original research, systematic and integrative reviews, clinical cases, letters to the Editor, and editorials. Published articles are freely available through the SEER platform.

 

  1. CATEGORIES AND MANUSCRIPT REQUIREMENTS

Manuscripts can be submitted for the following sections:

Original articles: Results of experimental or observational research, original and unpublished, that can be replicated and/or generalized, as well as qualitative methodology research in general.

Systematic or integrative literature reviews: Contributions that use a research method presenting the synthesis of multiple published studies and allowing general conclusions about a particular area of study, conducted systematically and orderly, promoting a deeper understanding of the investigated topic.

Clinical cases: Case reports should have educational value or highlight the need for a change in clinical practice or diagnostic/prognostic approaches. Authors are encouraged to describe how the case report is rare or unusual, as well as its educational and/or scientific merits in the cover letter accompanying the manuscript pre-submission. We recommend consulting the CARE Guidelines for detailed guidance on preparing case reports (available at www.care-statement.org).

Letter to the editor: Letters should take one of the following forms: a substantial reanalysis of an article previously published in the Arquivos em Odontologia Journal or in another journal; an article that raises issues of general interest to the broad readership of the Arquivos em Odontologia Journal; a brief report of research results suitable for the scope of the journal and of particular interest to the community. The manuscript should be limited to 800 words. Figures or tables are not allowed.

Editorials: Editorials should include evidence that supports the author's opinion on a scientific topic and should be limited to 500 words. Figures or tables are not allowed.

 

  1. MANUSCRIPT PRESENTATION

The manuscript should be submitted in separate files: cover page; main text file; figures.

As articles are peer-reviewed, except for the cover page, no file should include information that could identify the authors.

The manuscript should be submitted in a digital format compatible with Microsoft Word in DOC or DOCX format. The text should be formatted in size A4, with Times New Roman font, size 12, and a 3cm margin on each side. The entire text should have a 1.5 line spacing, including the identification page, abstracts, acknowledgments, and references.

The main text file (including acknowledgments, bibliographic references, tables, and figure captions) should have a maximum character limit of 30,000 characters. All pages should be numbered starting from the title page.

Title Page

A separate title page should include:

  • Title: The title should be presented first in English and then in the language of the manuscript (Spanish or Portuguese), written concisely and completely. For articles written in English, there is no need to include the title in another language.
  • Full names of all authors in the direct order followed by their institutional affiliation, ORCID, and email.
  • Full address, phone, and email of the corresponding author, to whom all correspondence regarding the submission and publication of the article should be addressed.
  • Description of author contributions, using roles defined by CRediT.
  • Declaration of conflict of interests (see below).

Figures and supplementary material (if relevant) should be submitted as separate files.

Article title: According to the instructions for the title page.

Abstract: It should be structured into Introduction, Objective, Materials and Methods (specifying the statistical analysis used, if appropriate for the study type), Results, and Conclusions and should contain a maximum of 300 words.

Keywords: Three to six keywords that identify the content of the article. Keywords should be based in the DECS and MSH. Check the terms at the following web addresses: http://decs.bvs.br or https://www.ncbi.nlm.nih.gov/mesh/

Introduction: Summarize the rationale with scientific basis and include the study's objective, citing only relevant references.

Materials and Methods: Present the materials and methods in sufficient detail to allow the confirmation of observations and reproducibility of the methodology.

The Arquivos em Odontologia Journal supports the ethical standards for clinical trial registration of the World Health Organization (WHO) and the International Committee of Medical Journal Editors (ICMJE), recognizing the importance of these initiatives for the international registration and disclosure of information on clinical studies in open access. Therefore, only clinical research articles that have received an identification number in one of the Clinical Trial Registries validated by the criteria established by the WHO and ICMJE will be accepted for publication. The identification number must be registered at the end of the abstract. For clinical trials conducted in Brazil, authors should preferably provide the registration number in the Brazilian Clinical Trials Registry (http://www.ensaiosclinicos.gov.br).

In accordance with the Equator Network (http://www.equator-network.org), Arquivos em Odontologia recommends the use of checklists for article presentation:

Results: present the results in a logical sequence in the text, tables and figures. Do not repeat all data from tables or figures in the text; emphasize only important observations.

Discussion: Introduce the discussion with a paragraph summarizing the main research. Emphasize new and important aspects of the study and the conclusions that arise from them. Do not repeat in detail data or other material provided in the Introduction or Results section.

Conclusions: concisely point out the conclusions of the research, not simply stating the results.

Abstract: articles submitted in Portuguese, Spanish or English must include the Abstract before the list of References, followed by the Uniterms.

Acknowledgments (if applicable): provide the names of colleagues who made substantial contributions to the study. Research funding sources should be included in this section.

References: the names of authors cited in the text must be omitted and replaced by the superscript number corresponding to the bibliographic citation.

References must be listed in the order of appearance in the text.

The accuracy of references is the responsibility of the authors.

Tables: tables must be created in a program compatible with “Microsoft Word for Windows”, numbered in Arabic numerals and the respective titles placed at the top. Its reference in the text is made in Arabic numerals. Tables must be inserted after references, at the end of the text file. The place where they will be inserted must be indicated in the text.

Figures: graphs, drawings and photographs are classified as figures. The figures used must be those strictly necessary to understand the text. They must be numbered in Arabic numerals and the respective titles placed at the top. They must be presented on separate pages (end of the article) and the place where they will be inserted must be indicated in the text. Graphics, drawings and photographs must be sent in TIFF or JPEG format in high resolution (minimum 300 dpi).

Supplementary material: the information in the supplementary material is not essential for understanding the article. However, they allow greater knowledge of the data available. Tables, figures, videos, data, etc. will be considered. For submissions, they must be provided as separate files but referred to in the text.

Checklist for initial submission

The following files must be sent:

  • Cover Letter to the Editor
  • Copyright and Responsibility Declaration signed by all authors (template available here)
  • Copy of the certificate of approval by the Ethics Committee (when applicable)
  • Title page containing the name of the authors, affiliations, correspondence address, author contributions and declaration of conflict of interest
  • Manuscript, without identification of authors and affiliations
  • Figures
  • Supplementary material (if any)

Publication fees and charges

There are no fees charged for submission and publication of articles.

 

  1. EDITORIAL POLICY AND ETHICAL CONSIDERATIONS

Peer review

The manuscripts will be initially evaluated by the Scientific and Assistant Editors for compliance with publication standards. In case of inadequacy, they will be returned even before being submitted for merit evaluation.

Once approved , the manuscripts will be subjected to double blinding peer review process . Peer review is the critical evaluation of manuscripts by experts who may or may not be part of the editorial committee. The works will be analyzed by at least two reviewers from units other than the one from which the articles originated. The identities of both authors and reviewers are not identified to one another.

The Scientific Editors and Editorial Board have full authority to evaluate the merit of the works and decide on the suitability of their publications with or without changes, and may even return them to the authors with suggestions for making the necessary changes to the text and/or illustrations. In this case, the author is requested to send the revised version containing the necessary changes. Those that may not have been adopted must be justified in a letter sent by the author. The new version of the work will be re-evaluated by the reviewers and new revisions may be requested in as many rounds of evaluation as the reviewers and Scientific Editors consider relevant.

Papers that are not approved for publication will have their process definitively closed.

Human and animal participants, privacy and confidentiality

The ethical criteria of the research must be respected. Authors must explain that the research was conducted within ethical standards and approved by the Research Ethics Committees of the institution, human or animal, where the research was carried out. Research involving human beings must be carried out in accordance with the Declaration of Helsinki (World Medical Association). Original articles must be accompanied by a copy of the certificate of approval from the Ethics Committee of the institution where the research was carried out.

Research involving human subjects must state in the main text file that volunteers have given informed consent. The volunteer's anonymity must always be preserved. Photographs must be edited to avoid identity recognition. In situations where identity cannot be preserved, it is required to send a statement signed by the volunteer authorizing Arquivos em Odontologia to publish the image or photograph. This statement must be sent during the initial submission of your manuscript.

Disclosure of conflicts of interest

All authors must disclose any financial and personal relationships with other people or organizations that may inappropriately influence (bias) their work. Examples of potential competing interests include employment, consulting fees, stock ownership, patent applications/registrations and grants or other financing, etc. Authors must disclose any interests in the title page file. If there are no interests to declare, indicate the following: “Declaration of interests: none”.

If the article is accepted for publication, this information will be included in the final section.

Transfer of copyright and declaration of responsibility 

Manuscripts must be submitted exclusively for the journal Arquivos em Odontologia, and simultaneous submission to another journal (national or international) is not permitted, both in terms of text, figures and tables.

The opinions and concepts expressed are those of the authors, and do not necessarily reflect the opinion of the Scientific Editors and Editorial Board.

Authors must sign and submit a Copyright and Responsibility Declaration (model available here).

Plagiarism detection is expected to be carried out at the beginning of the manuscript evaluation process by the Journal's editorial team.

Intellectual property

Arquivos em Odontologia will hold the copyright and publication rights of all published articles, including translations.

All journal content is licensed under a Creative Commons Attribution BY License.

The journal is online and free and open access.

Responding to potential misconduct/inappropriate behavior, complaints and appeals.

In cases of authorship dispute, data fabrication or plagiarism, the journal has adopted clear and rigorous ethical guidelines for best working practices.   1. PUBLICATION PROCESS AFTER ACCEPTANCE

 After acceptance of the manuscript, it undergoes proof development and a review process. The corresponding author will receive by email the article proof. The corresponding returns corrections after coordinating with co-authors. Papers are then published in the journal's website.

 

  1. POST-PUBLICATION

We encourage authors to promote your published article via e-mail list, social media, websites and academic collaboration channels. All articles published in Arquivos em Odontologia is freely accessible and maximise the visibility of your research.

Journal options for post-publication discussions, corrections, and retractions

Arquivos em Odontologia will also publish post-publications notices related to paper corrections , expressions of concern, and retractions. Retractions will follow COPE's guidelines on retractions (http://publicationethics.org/resources/guidelines).
